TERMS AND CONDITIONS FOR PARENTS/CARERS
Tom Wallace — Afterschool Coding Club, Montpelier Primary School
By enrolling your child in this afterschool coding club, you (the parent/carer) agree to the following terms and conditions. Please read them carefully before registering. If you have any questions, please contact me before your child's first session.
1. About the Club
The coding club is run by Tom Wallace, who has been delivering coding workshops for 3 years, following 13 years as a secondary school drama teacher. Sessions are held on the premises of Montpelier Primary School, during term time. Session days, times, and age range are as shown on the ClassForKids listing you book through.
I hold an enhanced DBS certificate (registered on the DBS Update Service), public liability insurance, and up-to-date safeguarding and paediatric first aid training. Full details are available on request, and my Child Protection and Safeguarding Policy is available to all parents/carers.
2. Enrolment and Registration
A place is confirmed once you have completed booking and payment through ClassForKids, including the medical and emergency contact questions asked during that process, which are relied upon to run sessions safely.
It is the parent/carer's responsibility to keep this information up to date via your ClassForKids account, and to let me know directly of any urgent changes (for example, a new allergy diagnosis) that may not reach me before the next session.
3. Fees and Payment
Fees are charged termly, in advance, and processed through ClassForKids at the time of booking. Current pricing and the number of sessions per term are shown on the ClassForKids listing. A place is not guaranteed until payment has been received in full.
• If a term includes fewer or more sessions than usual (e.g. due to INSET days or half-term dates), this will be reflected in the ClassForKids listing and pricing for that term.
4. Cancellations, Absences, and Refunds
Because places are limited and costs are fixed in advance, the following refund policy applies:
• If your child is unable to attend a session for any reason (illness, holiday, other commitments, etc.), no refund or credit is given for that missed session, as their place remains reserved and costs are already committed.
• If I am unable to run a session for any reason (for example, illness, unforeseen circumstances, or school closure), you will be offered a full refund for that session.
• If you wish to withdraw your child from the club partway through a term, fees already paid for that term are non-refundable, as costs are committed in advance. No further fees will be charged for subsequent terms.
5. Attendance and Collection
Please ensure your child is collected from the session on time. You must inform me directly of alternative collection arrangements at least 2 hours in advance of the session starting and that 'new' collectors must bring ID/have a password that has been shared with me.
Montpelier Primary School has an externally provided after school club (JAG). If children are not collected within 5 minutes of the coding club ending (4:30pm) they will be taken to this afterschool care provision and parents will need to pay JAG directly for the provision. Please contact the school directly regarding this provision.
6. Behaviour
I expect all children to treat myself, the school premises, equipment, and other children with respect. I will always use positive behaviour management first. If a child's behaviour repeatedly disrupts the session or puts themselves or others at risk, I will discuss this with you directly, and, in serious or repeated cases, may need to ask that your child no longer attend the club. Where possible I will work with you and the school to support your child rather than exclude them. If your child is asked not to continue attending for behaviour reasons, fees already paid remain non-refundable, as costs are committed in advance.
7. Health, Medical Needs and Emergencies
Please declare any allergies, medical conditions, or additional needs via ClassForKids at the time of booking. Where a health condition may require adult intervention during a session (for example, an allergic reaction), I will ask to see the school's existing Individual Healthcare Plan for your child and agree a specific plan with you and the school before your child joins.
I hold a current paediatric first aid certificate and carry a first aid kit at every session. In a medical emergency, I will call 999 if necessary and then contact you using the emergency details you have provided.
8. Photography and Data Protection
I do not take or use photographs or videos of children as part of running the club. If the school itself wishes to photograph sessions for its own purposes, this is managed separately by the school under its own image-consent arrangements.
Personal information you provide (including health/medical information) is used only to run the club safely, is stored securely within ClassForKids and my own records, shared only where necessary (for example, with the school's safeguarding lead in the event of a concern), and handled in accordance with UK GDPR and the Data Protection Act 2018. It is not shared with third parties for marketing purposes.
9. Safeguarding
I take safeguarding seriously and follow my own Child Protection and Safeguarding Policy alongside the school's own procedures at all times. If I have any concern about a child's welfare, I am required to report this to the school's Designated Safeguarding Lead, and, where necessary, to children's social care, even without parental consent, in line with statutory guidance.
10. Liability
I hold public liability insurance for the activities I run. While I take all reasonable care to keep children safe, I cannot accept liability for loss, damage, or injury except where this arises from my own negligence. Children should not bring valuable items to sessions; I cannot take responsibility for personal belongings.
11. Changes to These Terms
I may need to update these terms from time to time (for example, to reflect a change in fees or session times). Where possible, I will give at least 2 weeks' notice of any material change before it takes effect.
